Pre-Event Production Requirements
Overall project management of the below, keeping everything on track both ahead of and during the event, with weekly team calls, clear milestones, and deliverables, with contingency if those are not met. In addition, the culture that you set is important. Creating a positive and proactive team culture where you give everything a try, treat everyone kindly, assume the best, and always do your best to make team members look good is important.
1. Venue & Infrastructure Setup
- Create a venues document so it’s easy to track everything we need and easily share with track and residency leads, as well as all residents who want to host something: example from EE 2025 here
- Primary Hub: manage relationship with primary hub owners that we are renting from and all inventory that needs to be both put in and taken out of the spaces
- Create health & wellness venue setup to be a space that people want to spend time in daily
- Set up all additional spaces for track and residency activities
- This means getting photographs and details of venues that residencies will be in and making sure we have all the inventory we need (e.g. Whiteboards, desks and chairs etc. that are all in storage from previous year)
